This Privacy Policy applies to information collected through our website, ticket purchases, event registration, participant intake (vetting) forms, consent forms, liability waivers, codes of conduct, and any other documents or communications relating to our events, unless a document specifically states otherwise.

2. Adult-Only Events

Our events are intended exclusively for adults who are 18 years of age or older.

 

By purchasing a ticket or attending one of our events, you confirm that you are at least 18 years old.


Where required by the venue or by law, we may ask to see valid government-issued photo identification to verify your identity and age. The legal name you provide during registration or ticket purchase may be used for this purpose. We do not knowingly collect information from anyone under 18.

3. Information We Collect

We collect only the personal information that you choose to provide or that is reasonably necessary to administer our events.


Depending on the event, this may include:


Information Required for Registration


    • Legal name
    • Preferred first name
    • Email address
    • Your initial point of contact (for example, your Instagram or FetLife username)


Optional Information
You may also choose to provide:


    • Telephone number
    • Emergency contact information
    • Preferred payment method (where supported)
    • Other information you voluntarily provide through event registration or participant forms

 

We collect your legal name only when necessary to verify your identity, satisfy venue requirements, process payments, or comply with legal obligations.


Whenever practical, we will communicate with you and identify you by your preferred first name.


Emergency contact information is collected solely to assist us or the event venue in responding to a health, safety, or other emergency involving you. It is never used for routine communications or marketing.

4. Why We Collect Your Information

We use your personal information only for purposes directly related to operating our events.

 

These purposes include:

  • Processing ticket purchases

  • Confirming registrations

  • Communicating important event information

  • Completing participant intake (vetting), consent, or waiver documentation

  • Verifying attendee identity or age when required

  • Coordinating with event venues

  • Responding to emergencies

  • Maintaining records required by law, accounting standards, insurance requirements, or our legitimate business operations

 

We collect only the minimum amount of information reasonably necessary to accomplish these purposes.

5. Payments

Payments are processed securely through Square.


If you choose to save a preferred payment method, that information is securely managed through Wix Member Services. 


We never receive or store your complete payment card number.


Square communicates with your financial institution or card issuer as necessary to authorize and complete your transaction. 


Some service providers may store or process information outside Canada. Where this occurs, the information may be subject to the laws of those jurisdictions.

6. Event Forms, Waivers, and Agreements

We treat your personal information as confidential.


We do not sell, rent, license, or trade your personal information.

 

We share information only in the following limited circumstances.

 

Payment Processing
Information required to complete your purchase is shared with Square.
 

Event Venues
Where required to administer an event, we may provide the venue host with only the minimum information necessary, including:

 

    • Legal name
    • Preferred first name
    • Emergency contact information

This information is provided solely to:


    • Confirm attendee identity
    • Verify proof of age where required
    • Support venue safety procedures
    • Respond to emergencies

 

Venue hosts are expected to use this information only for these purposes.

 

Legal Requirements

We may disclose personal information where required or authorized by applicable law, court order, or other lawful authority. 

If a privacy breach occurs that creates a real risk of significant harm, we will notify affected individuals and applicable regulators where required by law.


We are committed to respecting the rights protected by the Canadian Human Rights Act. If we believe a provincial, municipal, or other local legal requirement necessitating disclosure of personal information conflicts with those protections, we will seek to uphold the principles of the Canadian Human Rights Act to the fullest extent permitted by law.

7. Keeping Your Information

We retain your information only for as long as it is reasonably necessary to:


    • Administer current and future events
    • Reduce the need for returning attendees to repeatedly complete the same forms
    • Meet legal, tax, accounting, insurance, or record-keeping obligations
    • Resolve disputes or enforce our agreements


When personal information is no longer required, it is securely deleted, anonymized, or otherwise disposed of in accordance with applicable law.


    • Event registration records are generally retained for 5 years.
    • Financial records are retained as required under tax law.
    • Waivers may be retained for the applicable limitation period.

8. Protecting Your Information

We use reasonable administrative, technical, and physical safeguards to protect your personal information against unauthorized access, disclosure, alteration, misuse, or loss. 

 

Access to personal information is limited to individuals who require it to perform their responsibilities.

 

Although no system can guarantee absolute security, we take reasonable steps appropriate to the sensitivity of the information we collect.

Subject to applicable Canadian privacy laws, you may request to:


    • Access the personal information we hold about you.
    • Correct inaccurate or incomplete information.
